Library Displays at the Edwin H. Mookini Library
Anyone wishing to display in the Mookini Library should begin by contacting the appropriate library subject liaison for the material covered in the display or by emailing mookini@hawaii.edu. The library subject liaison will work with you to incorporate library materials and resources into your display, and will put you in touch with the appropriate Public Services staff to help guide you through our display procedures.
Next, complete the Request to Display form and email it to the appropriate library subject liaison for the material covered in the display or to mookini@hawaii.edu at least 30 calendar days before the proposed display date.
The library will do its best to maintain proper security for loaned materials during the exhibit, but there must be a clear understanding that the library cannot be held responsible for any loss or damage to the materials. The Request to Display form includes a waiver to this effect, which must be signed by the person responsible for the display before the display can be mounted.
Mookini Library display space is scheduled on a first-come, first-served basis. Displays proposed to the library will be accepted or declined based on the following:
I. The purpose of providing displays in library exhibit areas is to:
A. Display materials on themes or events of interest to the campus community.
B. Publicize research or scholarly work performed on campus by faculty or students.
C. Publicize, and/or recruit for, campus organizations or projects.
D. Publicize the programs, resources, and services of UH Hilo, HawCC, and their various organizations.
E. Publicize the programs, resources, and services of the library.
F. Display materials of local history, art, Hawaiian themes, etc. Art displays for 3rd floor hanging require a plaque for back side and assistance in writing a display handout that will be added to university archives.
II. Scope of displays
A. All displays must be related to library services and/or collections. Anyone wanting to display in the library should work with the appropriate library subject liaison for the material covered in the display to integrate information about library programs, resources, and services in the exhibit or make reference to them with bibliographies, signage, handouts, etc.
B. The desirable characteristics of effective displays are professional-looking displays with well-thought out themes, relevant materials, and aesthetic appeal.
C. Displays of cultural or scientific importance to the community at large are encouraged.
D. Displays of a commercial nature (e.g. to solicit business), displays which constitute recruitment efforts by non-University of Hawai'i at Hilo or non-Hawai'i Community College affiliated organizations, and displays of a similar nature, are not accepted.
III. Implementation
A. The University Librarian reserves the final decision on all displays.
B. The Head of Public Services is the Exhibit Coordinator for the library.
C. Public Services keeps a schedule of library displays and maintains a log of all proposed displays. A list of approved displays are on the Mookini Library web page.
D. The Mookini Library Environment Committee reviews proposed displays and offers recommendations on their appropriateness, timing, execution, duration, etc., to the University Librarian.
E. Public Services staff works with the exhibitor and has authority to suggest changes to improve clarity of an exhibit and enforce the policy.
F. Mounting and dismantling the display is the responsibility of the exhibitor. Mookini Library staff will assist at the exhibitor's request with a minimum of 48 hours notice.
G. Scheduling and duration of a display is to be determined by the Head of Public Services in consultation with the University Librarian.
H. Displays left unattended after they are due to be dismantled will be dismantled by Public Services. Display materials not claimed by the exhibitor within 10 business days of dismantling may be discarded.
I. Where there are substantive questions/problems regarding a proposed display, the University Librarian makes the final decision and the Head of Public Services conveys that decision to the exhibitor.
J. All displays will be listed on the university calendar.
K. All displays will be listed in the Tribune Herald's Saturday calendar of activities.
L. Some displays may also have a press release written and submitted to local newspapers.
M. Pictures of all displays are allowed and will become part of the digital archives. A release form from individual artist or instructor or project coordinator required.
